About the Team: 

Come join our Advisory Services Division and be part of a team that provides invaluable support to our sophisticated and highly respected team of Wealth Advisors and Wealth Planning Associates. This Division values collaboration, learning, development, accountability, and client excellence in every way, and continues to grow and evolve at a rapid pace.

Purpose of the Role: 

As an integral member of our Advisory Team, you provide exceptional administrative support to teams of Wealth Advisors and Wealth Planning Associates to ensure client and team needs are being met. Your support provides leverage for the team to focus on growing our business, providing the best possible bespoke experiences for our valued clients. As an Administrative Associate, you will have opportunities to reach your career aspirations whether that be a brilliant career Administrative Associate or a future Wealth Planning Associate.

This role will operate on a hybrid working model and you can start working virtually until you wish or decide to join us at any of our offices close to you.

Core Responsibilities:

Practice Management

  • Assist Wealth Advisors to effectively manage practice.
  • Prepare and compile information and reports.
  • Support cash management processes.
  • Organize Wealth Advisors by managing tasks and reminders.
  • Support Wealth Advisors with technology updates as needed.

Client Service

  • Provide administrative support to teams of Wealth Advisors and Wealth Planning Associates.
  • Support client meetings (schedule, coordinate, pre-meeting preparation, post-meeting follow-up and action items).
  • Manage invitations to client events.
  • Enter client information into Salesforce.
  • Process new business requests for client onboarding.
  • Manage day-to-day client requests and execute, as applicable.
  • Communicate, both verbally and in writing, with clients when required.

Business Development

  • Coordinate introductory meetings with prospective clients.
  • Create “Lead” records for prospective clients in Salesforce.
  • Track pipeline of prospective clients and ensure follow-up is provided.
  • Follow up with Marketing Team as needed on incoming prospective leads.

Required Skills & Qualifications:

  • High school diploma or equivalent.
  • Proven administrative experience.
  • Superb written and verbal communication skills.
  • Strong time-management skills and multitasking ability.
  • Aptitude for learning new software and systems.
  • Superior attention to detail.
  • Highly organized and skilled at focusing on a high volume of tasks with competing priorities and deadlines.
  • Legally eligible to work in Canada for any employer.

Compensation & Benefits Package:

Basic pay per hour is CA$25.70. Base salary will be commensurate with experience, skills, and qualifications.
